Our commitment: RideFlow is built for families. We treat your data with the same care you give your children. We collect only what is necessary to make the app work, and we never sell your personal information.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and profile photo (if you sign in with Google, Microsoft, or Apple). This information is used to identify you within your family group and display your name to other family members.
Family and Rider Data
You provide information about your family members and riders (children), including names, schools, activities, and schedule preferences. This data is stored securely and shared only with members of your family group.
Ride and Schedule Data
We store ride events you create, including pickup/drop-off locations, times, assigned drivers, and status updates. This information is essential for the core scheduling and coordination features of the app.
Chat Messages
Messages sent in family and group chats are stored to provide chat history. When you use the @AI assistant feature, your message is processed by our AI system to generate a helpful response. Chat messages are only visible to members of the relevant chat group.
Media and Photos
Photos and videos uploaded as status reports or to the media gallery are stored securely. These files are only accessible to members of your family group.
Usage Analytics
We collect anonymous usage data (screen views, feature usage counts) stored locally on your device to help us understand which features are most valuable. This data is not transmitted to our servers unless you explicitly choose to share it.

2. How We Use Your Information
We use your information to:
- Provide and maintain the RideFlow app and its features
- Coordinate ride schedules and send notifications to family members
- Power AI features including natural language event creation, daily briefings, smart alerts, and the @AI chat assistant
- Detect schedule conflicts and provide proactive suggestions
- Generate weekly recaps and usage insights
- Improve the app based on aggregated, anonymized usage patterns
3. AI Features and Data Processing
RideFlow includes AI-powered features that process your data to provide intelligent assistance:
- AI Quick Fill: When you type a natural language description of a ride, the text is sent to our AI system to parse it into structured event data. The original text is not stored after parsing.
- @AI Chat Assistant: When you mention @AI in a chat, your message and recent chat context are processed to generate a helpful response. The AI does not have access to data outside your family group.
- Daily Briefing and Weekly Recap: Your family's schedule data is processed to generate personalized summaries. These summaries are generated on-demand and not permanently stored.
- Smart Alerts: Schedule conflict detection runs locally using your existing event data. No additional data is collected for this feature.
- Voice Input: Audio recordings for voice-to-text are processed by our transcription service and immediately deleted after transcription. We do not store voice recordings.
4. Data Storage and Security
Your data is stored on secure servers with encryption at rest and in transit. We use industry-standard security practices including:
- TLS/SSL encryption for all data transmission
- Encrypted database storage
- OAuth 2.0 authentication (no passwords stored)
- Session-based access control with automatic expiration
- Role-based permissions (parent vs. helper access levels)
5. Data Sharing
We do not sell, rent, or trade your personal information to third parties. Your data is shared only in the following circumstances:
- Within your family group: Family members and approved helpers can see shared schedules, chat messages, and status reports
- Service providers: We use trusted infrastructure providers (cloud hosting, AI processing) that process data on our behalf under strict data protection agreements
- Legal requirements: We may disclose information if required by law, court order, or to protect the safety of our users
6. Children's Privacy
Important: RideFlow is designed for parents and caregivers to coordinate rides for children. The app is not intended for use by children under 13. Rider profiles for children are created and managed by their parents or guardians.
We comply with the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information directly from children under 13. All child-related data (rider profiles, schedules) is provided and controlled by the parent or guardian account holder.
7. Your Rights and Choices
You have the right to:
- Access your data: View all personal information we store about you through the app's Settings screen
- Update your data: Edit your profile, rider information, and preferences at any time
- Delete your data: Request deletion of your account and all associated data by contacting us
- Export your data: Request a copy of your data in a portable format
- Control notifications: Customize which alerts and notifications you receive through the Smart Notification Preferences
- Opt out of analytics: Usage analytics are stored locally and can be cleared from your device at any time
8. Data Retention
We retain your data for as long as your account is active. When you delete your account:
- Your profile and personal information are deleted within 30 days
- Chat messages you sent will be anonymized (shown as "Deleted User")
- Ride events you created will be retained for the family group but your name will be removed
- Photos and media you uploaded will be permanently deleted
9. Push Notifications
RideFlow sends push notifications for ride reminders, status updates, chat messages, and smart alerts. You can control notification preferences within the app's Notification Settings, including setting quiet hours and choosing which alert types to receive.
10. Third-Party Services
RideFlow integrates with the following third-party services:
- Authentication providers: Google, Microsoft, and Apple for sign-in (subject to their respective privacy policies)
- Map services: For displaying ride locations on the Events Map
- Cloud infrastructure: For secure data storage and processing
11. Changes to This Policy
We may update this privacy policy from time to time. When we make significant changes, we will notify you through the app or via email. The "Last updated" date at the top of this page indicates when the policy was most recently revised.
